STOP winging it. You will always think you have more time than you actually have unless you set deadlines! This guy makes beat the train look awesome, but personally, waiting until the last minute usually means I'll stall on the track and the train is going to hit me. Working with a deadline will remind you to stay on task, stick to your routine, and if you have organized your projects you should have no trouble hitting your mark.

GO add deadlines to your calendar.

Deadlines give you a sense of urgency that will help reign in the temptation to procrastinate.
Making deadlines now will free up a ton of time later.

#4 BREAKS

STOP... Hammer Time. Remember the random dancing, rewards, and well-placed breaks I mentioned in step one? They are important to your sanity. Take small breaks throughout your work day. Stretch, meditate, have a piece of chocolate or a second cup of coffee, and get up and move around a bit. No one wants to be chained to their workspace for 10 hours at a time. We all need to shake it now and then.

GO dance, move, grab a second cup of coffee, and reward yourself for making it this far.

Scheduling small breaks into your daily routine will help you avoid burn out.
Taking small breaks now will free up a ton of time later.

#5 MOTIVATION

STOP starting over. Motivation is the key to all of the above steps. Keep going. Don't quit. Do whatever it takes to motivate yourself to stick to your routine, stay organized, and hit those deadlines. Download a motivational App, leave yourself encouraging notes, work in a motivational theme song during your breaks... whatever it takes.

GO make a list of things that will keep you motivated. Add them to your daily routine.

Maintaining your motivation is the secret to reaching your goals and achieving your dreams.
Staying motivated now will free up a ton of time later.


NEVER GIVE UP!


Even if you fall behind at the start of the week, don't give up. I was way behind by Tuesday evening, and yet I managed to stay on track Wednesday and Thursday. I even had free time both days because I finished each project ahead of schedule (because I'd set a reasonable deadline). I used the free time on those days to catch up on the things I fell behind on earlier in the week. Result?

Pruning Prioritites: How To Cope With Too Much To Do

Heat Mapping Boosted My Productivity...

 

But, I still have days when I can't get it all done.

Of course, I should know by now, there is no "get it all done", but I'm an OCD perfectionist with a stubborn streak. I'm going to die trying.


I spent yesterday going over the "now what?" as I gazed at my "ran out of time" notes next to "writing".

Wasn't time for writing the whole reason I cleared my day of "nonsense" and mapped out my hot zone? Yes. Yes it was.

Clearly, a map to my hot zone needs a compass to go with it. I did some research and tried to find yet another "tool" to pair with the wonders of Heat Mapping.

I think I found it.

Stever Robbins, aka the "Get It Done Guy" at Quick & Dirty Tips, has a great post about "Coping With Too Much To Do".

BAM! That's the stuff!

That sounds like me! I'm overwhelmed with ongoing demands! My options are clear. I refuse to do "crappy". I'm already a basket case. It's time to DROP something.

But what?


Luckily, Mr. Robbins goes over that too. He suggests writing down your life goals and then dropping anything that doesn't work towards those goals. Basically, you take your ongoing commitments and match them to your life goals. If something doesn't match, you drop it like it's hot. I'm a total "Get It Done Guy" groupie now. I've penciled in some time to pour over his posts and bask in his wisdom!

Anyhoo... That's my next step. I know when I am most productive, but I need to be sure that my productive hours are spent on commitments that will help me reach my life goals. It's time to drop the commitments that aren't feeding my dreams.

When the clock says, "WRITE" it's time to write. Unless what I'm running behind on relates  to, promotes, supports, or benefits my writing career it needs to be dropped. End of story. Thank you and goodnight. Drop mic and exit stage left.

#1  We're out of Chai Tea and French Vanilla Creamer so I filled your cup with instant decaf coffee and 2% milk.

 

#2  You weren't going to eat that last cinnamon roll, right?

 

#3  Is your appointment at 3 or 2? I think I told you 3, but it's actually at 2.

 

#4  The dogs need to go out.

 

#5  The dogs are ready to come back in.

 

#6  The dogs need to go out.

 

#7  Oh, were you busy? I can let the dogs out.

 

#8  Where's the stain remover?

 

#9  I know you have an essay due, a doctor's appointment, and a trip to the pharmacy that is going to eat away your working hours but if you could stop by the store and grab three things that I forgot I was out of when you went to the store yesterday...

 

#10 I understand that you have a meeting tonight, a webinar to attend, and a video conference all at the same time-- which is smack dab in the middle of the baby's "bedtime" routine,  but I'm just not comfortable with diapers and bottles yet.
